Open Tasks – Assigned to Active Users or Groups

Problem

In processes where tickets often remain open for a longer time—such as Change Management, Problem Management, and Order Fulfillment—it is common to find tasks still assigned to users who have since become inactive (left the organization, for example). These assignments create bottlenecks, delays, and inaccurate reporting. Work can remain “stuck” without anyone responsible for progressing it, leading to compliance risks and service delivery issues. This blueprint ensures such tasks are always owned by an active user or group, closing a critical gap in long-running process management.

What the Blueprint Includes

The blueprint covers three key entities:

  1. Task – the root of the model, limited to active tasks.
  2. User – validates that “assigned to” always points to an active user.
  3. Group – ensures that every task has an active assignment group when used instead of an individual assignment.

An alternative link group for the Assigned user or Group makes sure that at least one of them exists for every open task.

Considerations

  • Assignment rules: A task must be assigned either to a valid user or to an active group (alternative links), but assignment fields might differ from one process to another.
  • Inactive users: Users, including group members, are checked against the active=true condition. You can finetune this condition to match with your "active user rules"
  • Group membership: Groups must also be active, and their members should be regularly reviewed to prevent hidden bottlenecks. This blueprint requires every group to have at least two members. One person is not a group, right?
  • Exception handling: Organizations may need escalation paths when inactive user assignments are detected, so tasks are rerouted automatically.
  • Process focus: You can run different audits for different processes using the same blueprint.
